Space only construction

The main booth constructor (EAC) will need to submit the booth design for approval in the IMEX portal by August 20 (August 13 for double storey).
Once the exhibitor has registered their main booth constructor, the booth constructor can sign in or create an IMEX account, and follow the on screen instructions to submit the design.

Move in and move out times

Move in times  

Saturday, October 5: 8am - 11:59pm 
Sunday, October 6: 12am - 11:59pm
Monday, October 7: 12am - 8pm


Detailed target times and the target map will be available on GES Expresso. It is important that you take note of the target time for your specific booth. 

All displays and exhibits must be completed by Monday, October 7 at 8pm. 

Note: there will be a penalty charge of $500.00 USD per hour for booths that are not complete by this time. 

Move out times  

Thursday, October 10: 5:30pm - 11:59pm
Friday October 11: 12am - 5pm

All freight carriers must be checked in by:  

Friday, October 11: 11am
 
All exhibits, booth materials, etc. to be removed by:  

Friday, October 11: 12pm

Access to the hall during move in and move out

Access to the exhibit hall for EACs/booth constructors  

EACs and booth construction labor must present a daily wristband to access the exhibit hall during move in, show days and move out. No pre-registration needed.

Wristband collection points:

During move in and move out:  
Security desk, Bayside Foyer, near the FedEx office  
 
During show days:  
Security desk, Bayside Foyer, near the FedEx office  
or 
IMEX Show Management Office, Bayside D (access from the pre-function foyer) 
 
Exception: GES labor must collect a daily wristband from loading dock door 1-D. 
 
EACs who need a name badge to access the exhibit hall during show days can  ask their exhibitor (booth coordinator) to register them as booth support staff. The name badge can be presented at the exhibit hall entrance instead of the daily wristband.  
 
The exhibit hall can only be accessed with a name badge or wristband. All exhibit hall entrances are staffed by security 24/7.  


Freight

All freight must be delivered to the GES advance warehouse to facilitate a smooth move in. Direct shipments to the venue will only be accepted on Monday October 7. You can find more information via Expresso by GES.


Clear aisles during move in  

To enable better movement of freight during move in, no-freight aisles will be marked with red tape. The marked areas must be kept clear of freight at all times. The position of the clear aisles will be communicated prior to the start of move in, and floorplans will be available.
 

Clean floor policy 

Due to the volume of crates, limited space for set up, and time needed to install aisle carpet, a clean floor policy will be enforced.

Catering  

Catering is an exclusive service provided by the Mandalay Bay Exhibitor Services’ team. The exception to this rule is that sample size food and non-alcoholic beverages are permitted and must be pre-authorised by the venue.

Hotel alert  

The above hotels are the only official IMEX accommodations blocks. You may be contacted by hotel discounters claiming to be associated with us. Many of these discounters are known to engage in fraudulent behavior, such as not providing the room described at the time of booking. Unfortunately, we won’t be able to help you if you book through a company not associated and promoted by us. We recommend you use our official accommodations block supplier.  
 
Data bank alert  

You may be contacted by data bank companies claiming to have information on IMEX participants. However, we do not give out or sell our buyer or exhibitor data. For an explanation of how we use your personal information, read our privacy policy. If you are contacted by anyone offering to sell data on IMEX participants, please report it to the IMEX Operations Team: operations@imexevents.com
